Importing Database Fields

Library Monkey can import Database field information from a tab delimited text file. This allows you to update multiple fields for multiple assets quickly. Library Monkey will guide you through the process.

Get started

    • Select Import Database Fields from the Database menu. The Import Database Fields Setup window will appear.

1. Select the library

    1. Select the target library in the list. You may open the Library hierarchy and select a child library if desired.
    2. If the selected library has any child libraries, you can update content for any or all of the child libraries at once. To update content in the selected library in addition to the child libraries, select Include child libraries. To update content only in the selected library, select Just this library.

2. Specify Asset Identification

Library Monkey must know how to uniquely identify the Database assets from the text file. Most of the time, this will be based on the filename, as within a given library, the filenames are guaranteed to be unique. However, if you are updating assets originally imported from a CD, you can also specify to identify the Database assets based on the CD name, track, and index.

      • Select Filename to uniquely identify assets based on the filename.
      • Select CD Name_Track_Index (as 1 field) to uniquely identify assets based on the original CD info, and use 1 field to do so.
      • Select CD Name<TAB>Track<TAB>Index (as 3 fields) to uniquely identify assets based on the original CD info, and use 3 fields to do so.

3. Prepare the Tab-delimited Text File

You already have the Database field information in some form. The next step is to convert this information to a tab-delimited text file corresponding to the settings selected above. To avoid any guesswork, Library Monkey can generate a template tab-delimited text file to show exactly the info it will be looking for during import.

To generate a template tab-delimited text file, click Generate Template File.... Enter the name of the file and click Generate.

4. Select the Tab-delimited Text File

  1. Click Select File....
  2. Select the tab-delimited text file
  3. Click Choose. The Import Database Fields Setup window will appear.

5. Specify text file configuration

The first few lines from the text file are displayed. Based on your choices in the Import Database Fields Setup window, certain fields are required, and the required fields are listed in the descriptive text at the top of the window.

  • Use the menus to identify which column in the text file corresponds to which Database field.
  • Use the Ignore menu item for any column in the text file that does not correspond to any Database field.
  • Click Import when setup is complete. The confirmation alert will appear.

6. Confirm setup

Review all the choices and setup you have made.

  • If you are sure everything is set up properly, click the Continue button.
  • If you need to go back and check any step, click the Back button.
  • If you want to stop everything, click the Cancel button.

IMPORTANT: Once you click Continue, this process cannot be undone!
